Sending bulk interview invites

When you have 20 or 100 candidates to invite at once, the bulk-invite flow saves you from the 50-clicks-per-candidate single-invite path.

Key takeaways

  • Candidates list → checkbox select multiple → Send invite from the bulk-actions bar.
  • Pick one job + one duration. Sent to every selected candidate.
  • Each candidate gets their own unique invite email and unique link.
  • Double-check your filter and selection. *Select all* + a broad filter is how 1000 unintended invites go out.

Single-invite is fine for a few candidates. Bulk-invite is how you handle a wave of 50 or more. This article covers the workflow.

The flow

[@portabletext/react] Unknown block type "undefined", specify a component for it in the `components.types` prop

Selecting all

There are two Select all behaviours:

  • Header checkbox — selects all candidates currently visible on the page (typically 20 per page).
  • "Select all 234 matching candidates" appears after you click the header checkbox — selects every candidate matching your current filter, including those on other pages.

WARNING

The second one is dangerous if your filter is broad. *No filter applied + Select all 1058 matching* = 1058 invites. Always sanity-check the count number shown in the bulk-action bar before clicking Send.

What gets sent

Each selected candidate receives their own unique invitation email with a unique single-use link, scoped to the job you picked. The emails go out in the next 30 seconds — there is no delay or scheduling option.

Common mistakes

  • Inviting to the wrong job. The job is set once for the whole batch. Double-check before clicking Send.
  • Inviting candidates already in progress. If a candidate already has a PENDING or IN_PROGRESS invitation for this job, sending another one is allowed but rarely what you want. The platform shows a warning; read it.
  • Inviting closed-job candidates. Closing a job stops new invites; if you bulk-select candidates with mixed statuses, you may see some skipped.

Frequently asked questions

Is there a limit on how many candidates I can invite at once?

Soft limit is 100 per batch — for performance reasons. If you need to invite more, do it in multiple batches.

What if some candidates fail to get invited?

The bulk action surfaces a per-candidate result at the end — e.g. *"94 sent, 6 failed"*. Failures are usually invalid emails. You can fix the email and retry just those candidates.

Do I get charged credits for bulk invites?

Sending an invite does *not* consume credits. Only completed interviews consume credits.
